1. What information do we collect?
Personal information you disclose to us
In Short: We collect personal information that you provide to us.
In this notice, “Taxpayer” and “Tax Advisor” have the same meaning as in our Terms of Use. A user who holds an account in Taxpayer Mode, together with any business entity that user registers and administers in that mode, is a “Taxpayer.” A user who holds an account in Tax Advisor Mode is a “Tax Advisor,” whether or not that user holds any professional credential, license, or designation.
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal Information Provided by You. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. Depending on the features you use or that we make available, we may collect or process the categories of information described below. We collect a category only when it is relevant to an enabled feature, you provide or authorize it, or it is otherwise necessary for the operation and security of the Services.
The personal information we collect may include the following:
- names; email addresses; phone numbers; mailing and business addresses; usernames, passwords, and other login credentials; profile details; user roles and permissions; and communication and reminder preferences
- taxpayer and entity profile information, including entity names, entity and tax classifications, ownership interests, formation and filing jurisdictions, and entity-participant details
- information you provide about other people, including clients, staff, collaborators, owners, partners, shareholders, spouses, dependents, and other individuals you enter, import, or invite
- Tax Advisor credential and professional details, including designation (CPA, Enrolled Agent, Attorney/Esq., PTIN Holder, Non-Credentialed Preparer, AFSP Participant, or Other), firm and staff roles, professional contact details, and advisor-client relationships
- tax and compliance facts, custom events, deadlines, notes, and other calendar content you create, enter, or import
- the subscription, trial, plan, and entity allowance you select when you subscribe
- the content of your support communications and survey responses, and any files you may choose to submit if file-upload functionality is enabled
Sensitive Information
When necessary to provide the Services, with your consent, or as otherwise permitted by applicable law, we process the following categories of sensitive information:
- Social Security numbers, ITINs, EINs, PTINs, and other taxpayer or tax-preparer identifiers
- dates of birth, filing status, marital status, residency, citizenship or U.S.-person status, and dependent and family information
- income, asset, ownership, foreign-interest, and financial-account information, and account login credentials
- information that may directly or indirectly reveal health or disability status, racial or ethnic origin, religious or philosophical beliefs, sexual orientation or sex life, political opinions, trade union membership, criminal history, credit standing, or education — where such facts bear on a tax position, credit, deduction, or eligibility recorded in the Services
- any additional sensitive information you choose to enter, import, or share beyond what Taxminder specifically requests, including within any files you submit
Payment Data. We may collect data necessary to process your payment if you purchase a subscription, including billing name and address, payment method type, and transaction and payment status. Card and ACH payment information is collected and processed by our payment processor, Stripe. Taxminder does not directly store your full payment card number or bank account credentials. You may find Stripe's privacy notice here: https://stripe.com/legal/privacy-center.
Calendar and Account Integration Data. If you connect a third-party calendar or account — such as Google Workspace or Google Calendar, Microsoft Outlook or Microsoft 365, or Apple Calendar — we may receive the account and calendar identifiers, authorization tokens, calendar and event data, and synchronization status needed to create, update, and deliver Taxminder-generated events, invitations, and reminders. You may disconnect an integration at any time in your account settings. We may provide you with the option to register with us using your existing social media account details, like your Google, Microsoft, Facebook, Twitter, or other social media account. If you choose to register in this way, we will collect the information described in the section called “How do we handle your social logins?” below.
Mobile Access and Device Permissions. If you use our application(s), we also may collect the following information if you choose to provide us with access or permission:
- Geolocation Information. We may infer approximate location, such as country, state, or city, from your IP address for security, fraud prevention, and localization purposes. We may request access or permission to track location-based information from your mobile device, either continuously or while you are using our mobile application(s), to provide certain location-based services. If you wish to change our access or permissions, you may do so in your device's settings.
- Device Feature Access. We may request access to device features such as calendars, notifications, cameras, photos, or approximate or precise location, but only where needed for a feature you choose to use. The application will request permission through your device before accessing those features, and you may change our access or permissions at any time in your device's settings.
- Mobile Device Data. We automatically collect device information (such as your mobile device ID, model, and manufacturer), operating system, version information and system configuration information, device and application identification numbers, browser type and version, hardware model, Internet service provider and/or mobile carrier, and Internet Protocol (IP) address (or proxy server). If you are using our application(s), we may also collect information about the phone network associated with your mobile device, your mobile device's operating system or platform, the type of mobile device you use, your mobile device's unique device ID, and information about the features of our application(s) you accessed.
- Notifications and Reminders. We may send email and calendar reminders relating to your account, deadlines, events, and invitations. We may offer SMS, WhatsApp, or mobile push notices, for which we will provide notice and obtain any consent required by applicable law, and offer you the option to opt out. You can manage reminder and notification settings in your account.
This information is primarily needed to maintain the security and operation of the Services, for troubleshooting, and for our internal analytics and reporting purposes.
All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In Short: Some information — such as your Internet Protocol (IP) address and/or browser and device characteristics — is collected automatically when you visit our Services.
We automatically collect certain information when you visit, use, or navigate the Services. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. This information is primarily needed to maintain the security and operation of our Services, and for our internal analytics and reporting purposes.
Like many businesses, we also collect information through cookies and similar technologies. You can find out more about this in our Cookie Notice.
The information we collect includes:
- Log and Usage Data. Log and usage data is service-related, diagnostic, usage, and performance information our servers automatically collect when you access or use our Services and which we record in log files. Depending on how you interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity in the Services (such as the date/time stamps associated with your usage, pages and files viewed, searches, and other actions you take such as which features you use), device event information (such as system activity, error reports (sometimes called “crash dumps”), and hardware settings).
- Device Data. We collect device data such as information about your computer, phone, tablet, or other device you use to access the Services. Depending on the device used, this device data may include information such as your IP address (or proxy server), device and application identification numbers, location, browser type, hardware model, Internet service provider and/or mobile carrier, operating system, and system configuration information.
- Location Data. We collect location data such as information about your device's location, which can be either precise or imprecise. How much information we collect depends on the type and settings of the device you use to access the Services. For example, we may use GPS and other technologies to collect geolocation data that tells us your current location (based on your IP address). You can opt out of allowing us to collect this information either by refusing access to the information or by disabling your Location setting on your device. However, if you choose to opt out, you may not be able to use certain aspects of the Services.
- Integration, Delivery, and Audit Metadata. We may collect records generated by the features you use, including reminder generation and delivery status, calendar synchronization status, connected-calendar and event identifiers, invitation and audit-log identifiers, permission and access history, and security and login events.
Information collected from other sources
In Short: We may collect limited data from public databases, marketing partners, social media platforms, and other outside sources.
In order to enhance our ability to provide relevant marketing, offers, and services to you and update our records, we may obtain information about you from other sources, such as public databases, joint marketing partners, affiliate programs, data providers, social media platforms, and from other third parties. This information includes mailing addresses, job titles, email addresses, phone numbers, intent data (or user behavior data), Internet Protocol (IP) addresses, social media profiles, social media URLs, and custom profiles, for purposes of targeted advertising and event promotion. If you interact with us on a social media platform using your social media account (e.g., Facebook or Twitter), we receive personal information about you such as your name, email address, and gender. Any personal information that we collect from your social media account depends on your social media account's privacy settings.
We may also receive information about you from other Taxminder users. Most commonly, this is information entered or shared by a Tax Advisor who adds you as a client, a client who grants access to a Tax Advisor, or an owner, partner, shareholder, staff member, or collaborator who invites you to an entity or enters information about you, including personal facts such as U.S.-person status. We may also receive information from connected calendar, identity, communications, payment, security, and other service providers that support the Services.
2. How do we process your information?
In Short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.

You can opt out of our marketing emails at any time. For more information, see “What are your privacy rights?” below.
- To administer accounts, roles, subscriptions, and plan limits. We may process your information to administer Taxpayer and Tax Advisor modes, free trials, subscriptions, plan and entitlement limits, business-entity allowances and advisor entity budgets, allocations and usage, permissions, and user roles.
- To protect our Services. We may process your information as part of our efforts to keep our Services safe and secure, including fraud monitoring and prevention.
- To identify usage trends. We may process information about how you use our Services to better understand how they are being used so we can improve them.

- To generate, organize, and deliver tax and compliance calendars. We may process the facts you provide to generate, organize, display, export, synchronize, and send tax and compliance calendars, custom events, deadlines, invitations, and reminders, including through connected calendar accounts.
- To enable collaboration between users. We may process your information to support advisor-client relationships, staff and collaborator access, entity participation, invitations, and permission management, at your direction.
- To generate classifications, suggestions, and applicability indicators. We may process the facts you provide using deterministic logic, AI-assisted systems, and human-maintained rules to produce calendar applicability indicators, classifications, suggested deadlines, and reminders. See “How do we use AI and automated processing?” below for how these outputs may and may not be used.
- To perform quality assurance and produce analytics. We may process your information to perform quality assurance, maintain security and audit trails, and produce aggregated or de-identified analytics to understand and improve the Services.
3. What legal bases do we rely on to process your information?
In Short: We only process your personal information when we believe it is necessary and we have a valid legal reason (i.e., legal basis) to do so under applicable law, like with your consent, to comply with laws, to provide you with services to enter into or fulfill our contractual obligations, to protect your rights, or to fulfill our legitimate business interests.
If you are located in the EU or UK
This section applies to you to the extent the GDPR or UK GDPR applies to our processing of your personal information.
The General Data Protection Regulation (GDPR) and UK GDPR require us to explain the valid legal bases we rely on in order to process your personal information. As such, we may rely on the following legal bases to process your personal information:
- Consent. We may process your information if you have given us permission (i.e., consent) to use your personal information for a specific purpose. You can withdraw your consent at any time.
- Performance of a Contract. We may process your personal information when we believe it is necessary to fulfill our contractual obligations to you, including providing our Services or at your request prior to entering into a contract with you.
- Legitimate Interests. We may process your information when we believe it is reasonably necessary to achieve our legitimate business interests and those interests do not outweigh your interests and fundamental rights and freedoms. For example, we may process your personal information for some of the purposes described in order to:
- Send users information about special offers and discounts on our products and services
- Generate, deliver, and improve the tax and compliance calendars, events, and reminders you request
- Analyze how our Services are used so we can improve them to engage and retain users
- Support our marketing activities
- Diagnose problems and/or prevent fraudulent activities
- Understand how our users use our products and services so we can improve user experience
- Maintain security, audit trails, and records of permissions, invitations, and access for accountability and dispute resolution
- Legal Obligations. We may process your information where we believe it is necessary for compliance with our legal obligations, such as to cooperate with a law enforcement body or regulatory agency, exercise or defend our legal rights, or disclose your information as evidence in litigation in which we are involved.
- Vital Interests. We may process your information where we believe it is necessary to protect your vital interests or the vital interests of a third party, such as situations involving potential threats to the safety of any person.
In legal terms, we are generally the “data controller” under European data protection laws of the personal information we process for the purposes we determine, as described in this privacy notice. We may act as a “data processor,” to the extent applicable law so characterizes us, in respect of personal information that another user — for example, a Tax Advisor managing information about that advisor's own clients — processes through the Services for that user's own purposes. We may act as controller and processor at the same time in respect of the same records, for different purposes; see “Tax information, professional obligations, and our role” below. In those situations, the user on whose behalf we process that information is the “data controller” responsible for it, and we process your information on their behalf in accordance with their instructions and our agreement with them. If you want to know more about our customers' privacy practices, you should read their privacy policies and direct any questions you have to them.
If you are located in Canada
We may process your information if you have given us specific permission (i.e., express consent) to use your personal information for a specific purpose, or in situations where your permission can be inferred (i.e., implied consent). You can withdraw your consent at any time.
In some exceptional cases, we may be legally permitted under applicable law to process your information without your consent, including, for example:
- If collection is clearly in the interests of an individual and consent cannot be obtained in a timely way
- For investigations and fraud detection and prevention
- For business transactions provided certain conditions are met
- If it is contained in a witness statement and the collection is necessary to assess, process, or settle an insurance claim
- For identifying injured, ill, or deceased persons and communicating with next of kin
- If we have reasonable grounds to believe an individual has been, is, or may be victim of financial abuse
- If it is reasonable to expect collection and use with consent would compromise the availability or the accuracy of the information and the collection is reasonable for purposes related to investigating a breach of an agreement or a contravention of the laws of Canada or a province
- If disclosure is required to comply with a subpoena, warrant, court order, or rules of the court relating to the production of records
- If it was produced by an individual in the course of their employment, business, or profession and the collection is consistent with the purposes for which the information was produced
- If the collection is solely for journalistic, artistic, or literary purposes
- If the information is publicly available and is specified by the regulations
5. What is our stance on third-party websites?
In Short: We are not responsible for the safety of any information that you share with third parties that we may link to or who advertise on our Services, but are not affiliated with, our Services.
The Services may link to third-party websites, online services, or mobile applications and/or contain advertisements from third parties that are not affiliated with us and which may link to other websites, services, or applications. Accordingly, we do not make any guarantee regarding any such third parties, and we will not be liable for any loss or damage caused by the use of such third-party websites, services, or applications. The inclusion of a link towards a third-party website, service, or application does not imply an endorsement by us. We cannot guarantee the safety and privacy of data you provide to any third parties. Any data collected by third parties is not covered by this privacy notice. We are not responsible for the content or privacy and security practices and policies of any third parties, including other websites, services, or applications that may be linked to or from the Services. You should review the policies of such third parties and contact them directly to respond to your questions.
8. Is your information transferred internationally?
In Short: We may transfer, store, and process your information in countries other than your own.
Our servers are located in the United States. Our expected primary hosting and storage providers are DigitalOcean and Amazon Web Services; Microsoft Azure and other providers may also be used depending on the feature or internal workflow. If you are accessing our Services from outside the United States, please be aware that your information will be transferred to, stored, and processed by us in the United States, and by those third parties with whom we may share your personal information (see “When and with whom do we share your personal information?” above), in the United States and other countries. By using the Services, you acknowledge and agree that your information will be transferred to, and processed in, the United States.
If you are a resident in the European Economic Area (EEA), United Kingdom (UK), or Switzerland, then these countries may not necessarily have data protection laws or other similar laws as comprehensive as those in your country. However, we will take all necessary measures to protect your personal information in accordance with this privacy notice and applicable law.
European Commission's Standard Contractual Clauses
Where we transfer personal information out of the European Economic Area, the United Kingdom, or Switzerland, and applicable law requires a transfer mechanism, we will implement an appropriate safeguard, which may include the European Commission's Standard Contractual Clauses (and the UK International Data Transfer Addendum, where applicable) in our contracts with service providers. These clauses require all recipients to protect personal information that they process in accordance with European data protection laws.
9. How long do we keep your information?
In Short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). In general, we retain personal information for the period during which your account is active, and we delete or de-identify the operational data we control for you within ninety (90) days after a verified deletion request or the termination of your account. Inactivity alone does not trigger deletion; a verified deletion request or account termination is required. This general period applies across the categories of information described in this notice. Transaction, billing, consent, security, audit, legal, backup, and dispute records may be retained for longer where required by law or reasonably necessary to establish, exercise, or defend legal claims.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
Collaborative records and separate copies
A deletion request applies only to the data that we control for you. Because the Services are collaborative, when you share records with a Tax Advisor, client, staff member, collaborator, partner, shareholder, owner, or other participant, that recipient may retain a copy only to the extent they provided or generated it, received it under valid authorization, or may or must retain it under applicable law, professional duties, or a governing agreement — including after you disconnect from that user or leave the Services. The same standard applies on disconnection, including to Workspace Members and Staff Members whose access is revoked. We cannot guarantee the deletion of copies that are independently controlled, downloaded, exported, or retained by another user or outside the Services.
Audit and evidence records
We may retain limited logs or snapshots evidencing permissions, invitations, role changes, shared tax events or facts, and access history for security, accountability, recordkeeping, and dispute-resolution purposes. We retain these records for no longer than seven (7) years after the activity they record, and in each case for no longer than reasonably necessary for those purposes.
10. How do we keep your information safe?
In Short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
Encryption and personnel access
The Services are not end-to-end encrypted and are not zero-knowledge. Taxminder must be able to access and decrypt your information in order to provide the Services. Authorized Taxminder personnel and approved service providers may access user information on a need-to-know basis for support, quality assurance, troubleshooting, security, legal compliance, and investigation of user-reported issues.
Security certifications
Taxminder is not currently SOC 2 certified or SOC 2 compliant, and we do not represent that it is. We describe only the safeguards we have actually implemented. If we obtain a formal certification or attestation in the future, we will update this notice.
11. Do we collect information from minors?
In Short: The Services are not directed to persons under 18 and they may not hold accounts, but adult users may provide information about dependents.
You must be at least 18 years of age to create a Taxminder account. The Services are not directed to persons under 18, and persons under 18 may not create or hold accounts. We may nevertheless process information about children and other dependents when an adult user provides that information as part of the adult's tax and compliance records, and by entering that information you represent that you are authorized to provide it. If we learn that a person under 18 years of age has registered an account, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any account we may have created for a person under 18, please contact us at support@taxminder.com.
12. What are your privacy rights?
In Short: In some regions, such as the European Economic Area (EEA), United Kingdom (UK), Switzerland, and Canada, you have rights that allow you greater access to and control over your personal information. You may review, change, or terminate your account at any time.
In some regions (like the EEA, UK, Switzerland, and Canada), you have certain rights under applicable data protection laws. These may include the right (i) to request access and obtain a copy of your personal information, (ii) to request rectification or erasure; (iii) to restrict the processing of your personal information; (iv) if applicable, to data portability; and (v) not to be subject to automated decision-making. In certain circumstances, you may also have the right to object to the processing of your personal information. You can make such a request by contacting us by using the contact details provided in the section “How can you contact us about this notice?” below.
We will consider and act upon any request in accordance with applicable data protection laws.
If you are located in the EEA or UK and you believe we are unlawfully processing your personal information, you also have the right to complain to your Member State data protection authority or UK data protection authority.
If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.
Withdrawing your consent
If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section “How can you contact us about this notice?” below or updating your preferences.
However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent.
Opting out of marketing and promotional communications
You can unsubscribe from our marketing and promotional communications at any time by clicking on the unsubscribe link in the emails that we send, replying “STOP” or “UNSUBSCRIBE” to the SMS messages that we send, or by contacting us using the details provided in the section “How can you contact us about this notice?” below. You will then be removed from the marketing lists — however, we may still communicate with you, for example to send you service-related messages that are necessary for the administration and use of your account, to respond to service requests, or for other non-marketing purposes.
Account Information
If you would at any time like to review or change the information in your account or terminate your account, you can:
- Log in to your account settings and update your user account.
- Contact us using the contact information provided.
- Manage your connected calendars, integration permissions, collaboration access, advisor-client connections, and reminder preferences from your account settings, and disconnect an integration or a collaborator at any time.
Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases, generally within ninety (90) days of a verified request. However, we may retain some information in our files to prevent fraud, troubleshoot problems, assist with any investigations, enforce our legal terms, and/or comply with applicable legal requirements. Termination of your account does not delete separate copies of information that other users — such as a Tax Advisor, client, staff member, collaborator, owner, partner, or shareholder — control or have previously downloaded or exported. See “How long do we keep your information?” above.
Cookies and similar technologies
Most Web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Services. You may also opt out of interest-based advertising by advertisers on our Services. For further information, please see our Cookie Notice.
If you have questions or comments about your privacy rights, you may email us at support@taxminder.com.
13. Controls for Do-Not-Track features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track (“DNT”) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.

19. How do we use AI and automated processing?
In Short: We may use deterministic rules, AI-assisted systems, and human review to generate and check tax and compliance calendars. These outputs are informational and do not make legal or tax decisions for you.
Taxminder may generate calendar events, deadlines, classifications, reminders, and applicability indicators from the facts you provide, using a combination of deterministic logic, human-maintained rules and content, and AI-assisted processing. We may also use AI-assisted processing and authorized human review to compare generated calendar output against the intended output defined in our schema, and to monitor, troubleshoot, test, and improve the Services. We use aggregated, de-identified, or minimized data for these quality and improvement purposes by default, and use identifiable information only where reasonably necessary. We limit the personal information disclosed to AI providers to what is necessary for the task.
We may use AI service providers identified on our current service-provider or subprocessor list. Where those providers process personal information on our behalf, we configure and contract for the services so that the information is not used to train general-purpose models, except where separately disclosed and supported by an appropriate legal basis or your consent.
These outputs are informational only. They are not guaranteed to be accurate, complete, or current; they do not constitute tax, legal, accounting, or financial advice; and they are not used, and must not be used by you or any other user, to make decisions about your credit, employment, insurance, housing, education, or similar eligibility. You remain responsible for verifying deadlines and filing obligations, and you should consult a qualified professional.
Where applicable law gives you the right to object to, or to obtain human review of, automated processing, you may contact us using the details in “How can you contact us about this notice?” above.
20. Tax information, professional obligations, and our role
In Short: Our role depends on the activity. We may act as a controller for some processing and may act as a processor or service provider for other processing — often at the same time, in respect of the same records.
Taxminder, Inc. owns and operates Taxminder. Our role under data protection laws is not the same for every activity. We act as a controller (or “business”) for some processing and as a processor (or “service provider”) for other processing, and we frequently occupy both roles at the same time in respect of the same records.
We may act as a controller where we determine the purposes and means of the processing. This includes account registration, authentication, and user roles; billing, subscriptions, trials, plan limits, and entity allowances; security, fraud prevention, abuse monitoring, and audit and access logging; maintaining, testing, troubleshooting, and improving the Services, including aggregated or de-identified analytics; support and service communications; optional marketing to our own users; and compliance with our own legal obligations. We act as a controller for this processing even where the underlying records were entered by a Tax Advisor about that advisor's client.
Where a Tax Advisor uses the Services to manage information about that advisor's clients, staff, or collaborators, we may act as a processor or service provider on that advisor's behalf, to the extent applicable law so characterizes us. In that case the advisor determines the purposes and means of that processing, we act on the advisor's instructions, and our processing is governed by our agreement with the advisor. Where applicable law requires a written agreement allocating these roles, our agreement with the relevant user — including our Terms of Use — governs that processing. A Tax Advisor firm or other business user may request a separate data processing or security addendum; if executed by both parties, it will control over our standard terms to the extent of any conflict. If you are a client of a Tax Advisor, requests to access, correct, or delete information held in that advisor's workspace are generally directed to the advisor, and we will assist the advisor in responding. The Tax Advisor is responsible for the lawfulness of the instructions it gives us and for obtaining any consents or authorizations its clients are required to provide. Tax Advisors and their staff and collaborators are independent users of the Services. They are not employees, agents, or representatives of Taxminder, and we do not supervise, direct, or take responsibility for their professional services, advice, or handling of client information. If you are a client of a Tax Advisor, you should also review that advisor's own privacy notice and engagement terms.
Certain information may constitute tax return information subject to Sections 7216 and 6713 of the Internal Revenue Code and their implementing rules. Where a separate taxpayer consent is required for a use or disclosure, acceptance of this privacy notice or the Terms of Use does not itself provide that consent. The applicable Tax Advisor is responsible for obtaining required client consents, and Taxminder will process the information only as permitted by applicable law, the Tax Advisor's lawful instructions, and any required consent.
Tax return information and other tax and financial data may also be subject to additional legal and professional obligations — including the FTC Safeguards Rule, state privacy and data security laws, and professional confidentiality and record-retention duties applicable to Tax Advisors. We handle information in a manner intended to support compliance with the obligations that apply to us, and Tax Advisors remain responsible for the obligations that apply to them. This notice does not modify any separate confidentiality, engagement, or consent terms between you and a Tax Advisor.
Service messages — including calendar invitations, reminders, billing notices, security alerts, and administrative communications — are necessary to the operation of your account and are distinct from optional marketing. We do not sell personal data. Marketing communications by email, SMS, WhatsApp, or similar channels will be sent only in accordance with applicable consent requirements, and each will include an unsubscribe or opt-out mechanism.
Product features, pricing tiers, trial lengths, entity allowances, supported jurisdictions, integrations, and document-upload functionality are governed by the live product, checkout terms, and our Terms of Use rather than by this notice, except where a change materially alters the nature of our collection, use, disclosure, or retention of personal information — in which case we will update this notice.
7. How do we handle your social logins?
In Short: If you connect a third-party calendar or productivity account, we receive certain information from that account. If you choose to register or log in to our Services using a social media account, we may have access to certain information about you.
We offer optional integrations with third-party calendar and productivity accounts, including Google Workspace and Google Calendar, Microsoft Outlook and Microsoft 365, and Apple Calendar. If you authorize such an integration, we receive the account identifier, authorization token, and the calendar and event information necessary to create, update, synchronize, and deliver Taxminder-generated events, invitations, and reminders. The information we receive depends on the provider concerned and on the permissions you grant, and you may revoke the integration at any time through your Taxminder account settings or through that provider.
Our Services may offer you the ability to register and log in using your third-party social media account details (like your Facebook or Twitter logins). Where you choose to do this, we will receive certain profile information about you from your social media provider. The profile information we receive may vary depending on the social media provider concerned, but will often include your name, email address, friends list, and profile picture, as well as other information you choose to make public on such a social media platform. If you log in using Facebook, we may also request access to other permissions related to your account, such as your friends, check-ins, and likes, and you may choose to grant or deny us access to each individual permission.
We will use the information we receive only for the purposes that are described in this privacy notice or that are otherwise made clear to you on the relevant Services. Please note that we do not control, and are not responsible for, other uses of your personal information by your third-party social media provider. We recommend that you review their privacy notice to understand how they collect, use and share your personal information, and how you can set your privacy preferences on their sites and apps.
